Basma Attendance mobile application · Last updated 26 August 2026
Basma Attendance ("the app") is a workforce attendance application provided by SWAP to employers ("your organisation"). The app is issued to you by your employer so you can register attendance, and it is used in a workplace context only. This policy explains what the app collects, why, and who it is shared with.
Your employer decides what is collected and how long it is kept. SWAP operates the service on their behalf. If you want your records corrected or deleted, contact your employer's administrator first — they control the account that holds your data.
| Data | Why it is collected |
|---|---|
| Face images (biometric) | Photographs of your face are captured when you enrol and each time you register attendance, so the app can confirm that the person registering is you and not someone else. |
| Short video with audio | For some checks the app records a few seconds of video while you say digits aloud. This confirms a live person is present rather than a photograph or replay. The recording is used for that check only. |
| Precise location | Your GPS position is recorded at the moment you register attendance, to confirm you are at an assigned work location. It is also recorded when you answer a manager's request to confirm you are present, and when you open your own attendance summary in the app — in that last case your employer sees how far you were from your assigned site and whether it was during your working hours. The app also records whether your phone reported the position as coming from a fake-GPS app. |
| Leaving and returning to your work site | If your employer switches this on for you, and you allow background location, your phone reports the moment it leaves the boundary of your assigned work site and the moment it returns. Only those two moments are recorded — never a record of where you went in between. You can refuse the permission, or withdraw it later in your phone's settings, and the rest of the app continues to work. |
| Nearby Bluetooth beacons | The app scans for Bluetooth beacons placed at work locations to activate the app and to confirm presence on site. It does not connect to your personal devices. |
| Employment identity | Your name, employee number and the organisation you belong to, so attendance is attributed to the right person. |
| Device information | A device identifier and basic integrity signals, so an account is tied to one device and tampering can be detected. |
| Messages you receive | Announcements and attachments sent to you by your organisation's administrators. |
The app does not display advertising, and does not use your data for advertising or profiling.
We do not sell personal data and we do not share it with data brokers or advertising networks.
Attendance records, the photographs captured with them, and your enrolled face images are retained for as long as your organisation's account remains active and their record-keeping requires. When your organisation deletes your employee record, the associated face images and attendance photographs are deleted with it. Liveness video recordings are kept only for as long as the verification check requires and are not retained afterwards.
Data is transmitted over encrypted HTTPS connections and stored on access-controlled servers. Access to attendance records and photographs is restricted to authorised administrators of your own organisation; administrators cannot see data belonging to other organisations.
The app is intended for employees and is not directed at children.
If this policy changes, the updated version will be published on this page with a new date.
